Email Invoicing Inbox

Within the email invoicing inbox field, you will need to enter in the email address/s that will be forwarding invoices into:

Invoice Automate - invoices@invoiceautomate.com

Please ensure to list all the email addresses that will forward invoices as this is how we determine how to match the invoice to your account. You can separate multiple emails with a comma and there is no need to add a space in between.

NOTE: If you have a designated email address for receiving invoices, you can setup inbox rules to automatically forward them to Invoice Automate. Your IT team should be able to assist you in setting these rules up. ​​

Settings specific to your integrated software

Invoice Automate and Property Tree is a two way sync. Both systems send each other relevant data around properties, tenants, owners, property managers, creditors, reference numbers and invoices.

To find the Authorised Creditors:

Under the Property account, click on the 'Financials' tab and scroll down to the 'Authorised Creditors' section to see a list of authorised creditors for that property. Each creditor you are paying through Invoice Automate, must be listed with reference numbers under that particular property.

You can also see the various payment types for each creditor, such as BPAY or EFT payments.

NOTE: For any creditor with a BPAY reference, ensure that the correct and unique reference number specified on the invoice is entered under BOTH Customer Reference Number & BPAY Ref.

Setting up your email inbox to automatically forward your invoices to Invoice Automate is done within your email Outlook client itself.

Reporting an Invoice Issue

How to report an invoice issue?
If you have any issues with the invoice while reviewing it, you can report this to the Invoice Automate support team. They will receive a your name and agency details, a copy of the invoice document, all the details on the right side, and your note provided.

When you should report an invoice?
If you have uploaded multiple invoices from the same creditor and all of them have failed to scan out the details correctly. There could be an issue with the format of the invoice which our support team can assist with.

If you see a red error message tag saying 'failed to scan'
If you approve an invoice, and it doesn't approve and goes back into your dashbaord to review again.
If some pre-filled data from the invoice hasn't extracted correctly.
If no pre-filled data has extracted but you were expecting it to. For instance it's not the first EFT invoice from that creditor for that property.

TIPS & TRICKS

Efficiency in Every Step

Upload one invoice per PDF when using the manual invoice uploader, as we cannot split PDFs. The fastest way to get invoices into your dashboard is by using the Invoicing Inbox. You can send PDF invoices as attachments via email to your dashboard, this can be automated by setting up inbox rules via your emails. Please forward your PDFs to invoices@invoiceautomate.com. Deleted invoices will remain in the recycle bin for 90 days, however these can be restored during this time if required.

Frequently Asked Questions

What type of files can be uploaded?

Invoice Automate can process the following files:

- pdf
- jpg
- jpeg
- png

You need to ensure that each file is one invoice per file. Invoice Automate is not able to process word documents or excel files.Any invoices in zip files will been to be fully extracted before they are uploaded.

Is there a page limit per invoice?

There is no page limit for Invoice Automate. Please ensure that each file is one invoice per file.

Can I email my invoices?

Yes you can email your invoices, please see the Email Invoice Guide link for more details.
